Get your HOA up and running in 15 minutes
Follow this guide to set up Stewardly for your community. No technical knowledge required.
Create your HOA account
~2 minSign up with your email and create your HOA profile. You will set your community name, type (condo, townhouse, planned community), and contact information.
Tips
- Use an email address you check regularly — it will be the main board contact
- You can update all HOA details later from Settings
Add your units
~5 minEnter each unit in your community — unit number, address, and square footage. You can type them manually or upload a CSV if you have a spreadsheet already.
Tips
- Unit numbers are how Stewardly identifies each home — make sure they match what you use everywhere else
- Square footage is used for automatic ownership percentage distribution (optional)
Invite board members
~2 minAdd your fellow board members by email. They will receive an invitation and set their own password. Board members have full access to all management features.
Tips
- You can assign specific board roles (President, Treasurer, Secretary, Member)
- Each board member gets their own login — do not share credentials
Add homeowners
~5 minInvite residents to their own homeowner portal. They will only see information relevant to them — their unit, community announcements, and documents.
Tips
- Homeowners can be added individually or via CSV bulk import
- You can assign owners and tenants to specific units
- Homeowners receive a welcome email with login instructions
Upload your documents
~5 minAdd your CC&Rs, bylaws, rules and regulations, and any other governing documents. Once uploaded, every homeowner can access them without emailing the board.
Tips
- Supported formats: PDF, DOCX, XLSX, images
- Documents can be set as board-only or visible to all homeowners
Post your first announcement
~1 minLet your community know they can now access the portal. Post a welcome announcement that will appear on every homeowner's dashboard.
Tips
- Announcements can be pinned to stay at the top of the feed
- You can schedule announcements to publish at a future date

Run your first meeting
Create a meeting in Stewardly, build the agenda, and take notes live during the session.
